Qualfy vs Pendo + Calendly + Fireflies

If you already run Pendo, the first research idea is obvious: show the right segment a guide that says “talk to us?” and put a Calendly link on the button. Teams do exactly that, and it works — up to the click. From there the user leaves your product for a booking page, a Fireflies notetaker records whoever shows up, and the transcript lands in a third tool. Three separate products, each good at its job, and a handoff between every one.

The same question, asked of the same nine interviews

“Where do new users get stuck during onboarding?”

Pendo Listen, over imported feedback

“Onboarding friction is a rising theme this quarter, appearing in 14 feedback items — most from support tickets, several from imported calls — with data import and initial setup mentioned most often.”A theme count over tickets and calls that happened elsewhere. Items, not interviews, and none of them a conversation Pendo started.

Listen is on Pendo's Ultimate tier and imports calls from Gong, Zoom and Teams after the fact. Pendo doesn't book or record an interview, and doesn't claim to.

Q

Qualfy

3 of 9 interviews mention getting stuck during onboarding123. All three stalled at the data-import step, not at creating the account. The other six didn't raise onboarding at all.

1 · Ops manager · Mid-marketView in transcript · 8:42

Sign-up was fine. Then it wanted a CSV in a format I'd never seen, and I couldn't tell what it was asking for.

2 · Founder · SMBView in transcript · 12:05

I closed the tab at the import screen. Came back two days later when a teammate said you could skip it.

3 · Analyst · EnterpriseView in transcript · 21:17

The import page looked like it needed admin rights, so I pinged IT before I'd click anything.

A number you can put on a slide: three quotes, three timestamps, and six interviews that didn't say it.

About in-app asks

Pendo is the right tool for asking. The handoff is where the interview is lost.

Pendo guides are good at what they do: a segment, a trigger, a polished message in the product, and a poll if you want one. Asking a user “would you talk to us?” from inside the feature they are using is the best recruiting moment there is, and Pendo gives it to you.

What happens after the click is the problem. The button opens a Calendly tab, and the user who was in your product a second ago is now on a booking page with no memory of who they are, what they were doing, or whether they were the right person to ask. Nobody screens them. Nothing records that they were invited, so the guide will ask again. The call is recorded by a notetaker that also records your standups, and the transcript ends up in Fireflies, or imported into Listen later as one more feedback item.

Qualfy keeps the ask and removes the handoffs. The popup screens the user, books them against your team's calendars without leaving the page, records the call, and puts the transcript in a corpus you can question the same afternoon. On brand fit, every tool here lets you set colours, a logo and a position; the difference is that Qualfy's popup is one campaign object with no theme system to maintain, and it renders in its own Shadow DOM so neither side's CSS can leak into the other. Pendo's own docs tell you to win style conflicts with !important.

Where each one starts

Pendo starts inside your product, and stops at the click.

Pendo targets a guide to a segment and can put a poll in it. Booking is a link to someone else's calendar page; recording is someone else's notetaker. On August 1, 2026 Pendo retired classic Feedback in favour of Listen, which imports calls from Gong, Zoom and Teams as feedback items — analysis of conversations that happened somewhere else. The grid shows each product against the five stages, and the last row shows what the three do together.

Filled means the product does the stage fully. Outlined means part of it. Dashed means it isn't offered.

“Partial” means part of the job. A Pendo poll asks a question but can't turn a wrong answer into “thanks, not this time” before a slot is taken. Listen is on the Ultimate tier and works on imported items; Pendo's MCP server exposes analytics, guides and feedback to Claude, Cursor and ChatGPT. Calendly's Notetaker and Callie are on its Plus tiers, which have no published price, so they appear here but not in the ledger.

Trust

Three tools, none of which publishes an accuracy number. One product does.

We make no claim about the accuracy of Pendo Listen, Fireflies or Calendly's assistant — none publishes a number, and we can't measure it for them. We can measure ours, and these numbers are checked before every release; if one slips, the release doesn't ship. That includes the last one: a system that never invents an answer is tempted to refuse too often, so we measure that too.

Not totalled — Pendo publishes no price
  • Every paid Pendo tier is custom pricing, and Listen is on Ultimate. Pendo's free plan covers 500 monthly active users with Pendo-branded NPS.
  • Calendly and Fireflies alone come to $130 a month for five people; Calendly Standard at $10 takes $30 off if you don't need round-robin.
  • All three bill per seat or per monthly active user, so the total grows with headcount and traffic rather than with research.

Qualfy

  • Free — 3 interviews, no card, no clock. Cited answers and MCP included.
  • Team, $59/month — 50 interviews a month, 5 seats included.
  • Growth, $149/month — 250 interviews a month, 15 seats included.

Choose the stack when

  • You already pay for Pendo's analytics and guides, and a research ask is an occasional guide rather than a standing program.
  • You want tickets, Gong calls and your roadmap in one feedback ledger, and the Ultimate tier is within reach.
  • You meet mostly on Zoom and one notetaker has to cover everything.

Choose Qualfy when

  • You want the in-app ask to end in a booked, recorded interview, not in a Calendly tab.
  • You have no in-app survey tool today and can't justify an Ultimate contract to get one.
  • You want answers cited to the moment in the transcript, or an honest “your research doesn't cover this”.

You can use both

Keep Pendo for analytics and guides. Point the guide's button at a Qualfy campaign link instead of a Calendly one, and the same ask ends in a screened, booked, recorded interview you can question the same afternoon.
